1. Who we are

This website is run by VGA Thermal Solutions Ltd ("we", "our", "us"), a company registered in England and Wales with company number 17243203, whose registered office is Unit 82a James Carter Road, Mildenhall, Bury St Edmunds, IP28 7DE. We are the controller of the personal information described in this policy. You can contact us about anything in it at sales@vgathermal.co.uk.

2. Information we collect

When you send us an enquiry or quote request through our website, we collect:

  • Your name, company name and email address
  • The products you're interested in and the message you send us
  • For quote requests, your delivery address and, if different, your billing address

Like most websites, our web server also records technical information such as your IP address and the pages you request. We use this only to keep the site secure and working, including limiting repeated form submissions to prevent spam.

3. How we use your information

We use the information you send us to:

  • Reply to your enquiry and give you product information
  • Prepare quotations and recommendations, and follow up on them
  • Process and deliver an order if you buy from us, and keep the business records that requires

We rely on our legitimate interest in responding to people who contact us and, where you ask for a quote or place an order, on taking steps towards and performing a contract with you. We do not use your information for marketing mailing lists, and we never sell it.

4. Who we share it with

We use a small number of service providers who handle data on our behalf:

  • Our hosting provider, which runs the servers this website and its enquiry records are stored on, in the European Union
  • SMTP2GO, which delivers the emails our website sends, such as the confirmation you receive after an enquiry

These providers may only use your information to provide their service to us.

5. How long we keep it

We keep enquiry records for as long as we need them to respond to you and follow up. If you buy from us, we keep the related records for six years after the sale to meet UK accounting requirements. You can ask us to delete your information sooner at any time, unless we're legally required to keep it.

6. Cookies

We only use cookies that are needed for the website to work, such as one that protects our forms against misuse. We don't use advertising or analytics cookies, and we don't track you across other websites, so we don't ask for cookie consent.

7. Your rights

Under UK data protection law you have the right to ask for a copy of the personal information we hold about you, and to ask us to correct it, delete it or stop using it. To make a request, email sales@vgathermal.co.uk.

If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk, though we'd appreciate the chance to put things right first.
